DocDocJob operates the platform docdocjob.com, which connects healthcare professionals with employers and provides eligibility checks, matching, and career-related recommendations.

For the purposes of the General Data Protection Regulation (“GDPR”) and applicable data protection laws, DocDocJob acts as the data controller.

2. Scope of this Privacy Policy

This Privacy Policy applies to:

  • healthcare professionals (e.g. doctors, nurses) using the platform
  • employers and recruiters using the platform
  • visitors using our website, eligibility checks, or related features

It does not apply to third-party websites or services linked from our platform.

3. Personal data we process

3.1 Data you provide directly

Depending on how you use the platform, we may process:

  • name, email address, and contact details
  • professional information (e.g. specialty, qualifications, experience)
  • uploaded documents (e.g. CVs, certificates, language credentials)
  • eligibility-related information (e.g. nationality, visa or residence status)
  • employer account and job-related information

We do not process special categories of personal data under Article 9 GDPR (such as health data, biometric data, or racial or ethnic origin).

Visa or residence-related information is processed only for eligibility assessment purposes and is not used for profiling or advertising.

4. How and why we use your data (purposes & legal bases)

Account creation and management
We process personal data to create and manage healthcare professional and employer accounts, including profile information and access credentials.

CVs, documents, and professional information
We process uploaded CVs, certificates, language credentials, and related professional information to enable matching, eligibility assessment, and career-related services.

Matching, ranking, and recommendations
We use automated systems to rank profiles and recommend candidates to employers and job opportunities to healthcare professionals. These processes support platform functionality and do not produce legal or similarly significant effects. Human review is always possible.

Eligibility checks and career guidance
We process information such as nationality or residence status solely to assess eligibility for certain markets and provide career guidance. This information is not used for profiling or advertising.
Legal basis: legitimate interests (Article 6(1)(f) GDPR), namely providing relevant and expected platform functionality.

Platform security and fraud prevention
We process technical data, access logs, and security-related information to protect the platform, prevent abuse, and ensure system integrity.

5. Automated processing and recommendations

DocDocJob uses automated systems to:

  • rank profiles
  • recommend candidates to employers
  • recommend job opportunities to healthcare professionals

These processes do not produce legal or similarly significant effects within the meaning of Article 22 GDPR.

Human review and oversight are always possible, and automated recommendations are intended to support — not replace — human decision-making.

6. Cookies and tracking technologies

We use cookies and similar technologies on our website.

These may include:

  • essential cookies required for basic functionality
  • analytics cookies (e.g. Google Analytics, with anonymisation)
  • marketing and campaign tracking technologies (e.g. Meta Pixel)

7. Analytics and marketing tools

We currently use:

  • Google Analytics (with anonymised IP addresses) to understand platform usage
  • Meta Pixel to measure the effectiveness of marketing campaigns

Analytics and marketing tools are used solely to evaluate platform performance and outreach effectiveness. We do not sell personal data.

8. Use of AI and external service providers

We may use external service providers, including AI and language-model providers, to support certain features.

Where such tools are used:

  • personal data is anonymised or abstracted
  • no identifiable profiles are used for training third-party models
  • processing remains within the European Union

9. Data retention

We retain personal data only as long as necessary:

  • active user accounts: for the duration of the account
  • inactive accounts: automatically deleted after 24 months
  • data following withdrawal of consent or deletion request: deleted within 30 days
  • security and system logs: retained for a limited period for security purposes

Backup copies are deleted in accordance with standard backup cycles.

10. Data sharing and recipients

We may share personal data with trusted service providers who support our operations, including:

  • hosting and infrastructure providers

  • technical and security service providers

All service providers are contractually bound to process data in compliance with applicable data protection laws.

We do not sell personal data.

DocDocJob is incorporated in Singapore, but ensures that EU user data remains subject to GDPR-level protections and is not transferred outside the EU without appropriate safeguards.

  • restrict or object to processing
  • request data portability
  • withdraw consent at any time
